Tasks and Responsibilities of the Assistant Dean for Academic Affairs:
- Organizing final exam schedules in coordination with the academic departments.
- Organizing weekly class schedules in coordination with the academic departments and based on the available classrooms to ensure the smooth progress of postgraduate studies.
- Supervising the preparation of the weekly lecture schedule, ensuring the coverage of all scheduled hours for each subject according to the relevant regulations.
- Monitoring the attendance and discipline of postgraduate students in accordance with the applicable rules and instructions.
- Reviewing and unifying admission requests for postgraduate studies received from the academic departments and submitting them to the university’s presidency.
- Verifying and processing transfer requests for postgraduate studies from other universities to the college and referring them to the relevant academic departments for consideration and notifying the relevant authorities.
- Monitoring postgraduate students’ compliance with time frames and commitment to their studies in accordance with the rules and instructions.
- Participating in the meetings of postgraduate committees at the college when invited to discuss postgraduate matters within the departments’ scope to ensure efficient performance.
- Preparing a discussion statement for the postgraduate student one week before the defense date, preparing the examination committees, evaluating them, and submitting them to the College Council.
- Supervising the preparation of annual statistics related to postgraduate studies in the college.
- Distributing and collecting examination booklets according to the established rules.
- Announcing examination results after approval by the postgraduate committees in the academic departments, according to their jurisdiction.
- Providing academic departments with grades according to a predefined model for approval by the postgraduate committees.
- Coordinating with the academic departments to deliver examination questions for the first and second rounds, following the standard procedures for undergraduate studies.
- Corresponding with official departments regarding postgraduate student records, from registration to graduation.
- Corresponding with the University Presidency/Graduate Studies Department regarding the postgraduate students’ records.
- Corresponding with official departments to obtain the necessary approvals regarding attendees, after their names and departments are determined by the relevant academic department.
- Signing the annual allowances and promotion forms for postgraduate staff as the highest authority.”
